Open-source stack for sales teams in 2026

Five open-source tools for a small sales team: CRM, outreach, chat, dashboards, and e-signing.

A small sales team can run its whole stack on open-source software for €9 per app per month. This list covers five tools that handle the core sales jobs: pipeline, outreach, deal chat, dashboards, and signing. We run each one for you, so there is no server to manage. The headline is the math. A per-seat SaaS stack runs about 236 USD per rep, while five open-source apps cost €45 per month, flat, at any team size.

In short

  • Five open-source apps replace a per-seat CRM, outreach, chat, dashboards, and e-signing stack.
  • The apps are EspoCRM, Mautic, Mattermost, Metabase, and DocuSeal, each run for you at €9.
  • A per-seat SaaS stack costs about 236 USD per rep: near 709 USD at three reps, near 1,890 USD at eight.
  • Five apps here cost €45 per month, flat, and that figure does not move when you hire.
  • This is five focused tools, not one suite. Some SaaS features, like a dialer, have no match here.

Who this list is for (and who it isn't)

This list fits a 1-to-20-person sales team tired of per-seat pricing that climbs with every hire. It suits owners and sales leads who want to own their pipeline, outreach, and contracts without running servers. It is not for teams that need a single suite, with a dialer and conversation intelligence, under one login.

The right buyer is a founder-led team, a boutique agency, or a small sales group that already pays for five or more sales tools. The pain is the renewal email: another seat, another price tier, another year locked in. Owning the software fixes the per-seat part, and we run the servers so nobody on the team becomes a sysadmin.

The wrong buyer is a team whose motion depends on a built-in dialer, call recording, or a large add-on marketplace. That team should keep a per-seat platform for that piece. A team that wants zero setup, and will not import a CSV or connect an email service, is also a poor fit. These are real tools, not magic; they need a short setup before they earn their keep.

The five tools

Each tool below does one sales job well. For every one you get the same capsule: what it does, what it replaces, the per-seat price you are escaping, our flat €9, the team size it fits, and the honest gap. Read the gaps closely; they are where a tool is the wrong call.

EspoCRM — the pipeline

EspoCRM is an open-source CRM for contacts, leads, deals, and a sales pipeline you can shape. It has custom fields, workflows, reporting, a customer portal, and a REST API, and it is licensed under the AGPLv3. It is the system of record your sequences and dashboards read from.

For comparison, HubSpot Sales Hub Professional lists at 90 USD per seat per month on annual billing, and Salesforce Sales Cloud runs 100 USD per seat at Pro and 175 USD at Enterprise. EspoCRM removes that per-seat line entirely.

The honest gap: this is not Salesforce. There is no vast add-on marketplace, no built-in dialer, and no conversation intelligence. If your motion needs those, keep a tool for them or stay on the SaaS for that one piece.

Read the product page: EspoCRM for the sales pipeline. We are also adding Twenty, another open-source CRM, to the catalog soon, for teams that want a more modern, opinionated CRM feel.

Mautic — outreach

Mautic is open-source marketing automation for sequenced email outreach, nurture, segmentation, and landing pages. It is the largest open-source project of its kind, launched in 2014 and licensed under the GPLv3. It handles the repeatable email side of prospecting and follow-up so your reps are not pasting templates by hand.

Outreach and Salesloft do not publish per-seat prices; third-party benchmarks put them near 100 to 165 USD per seat per month, with the dialer as a separate add-on. Mautic replaces the email engine, not the calling layer.

The honest gap: Mautic needs an email-sending service you connect before any send works, and it has no dialer or call analytics. For email-led outreach it is strong; for heavy phone prospecting, pair it with a calling tool.

Read the product page: Mautic for outreach.

Mattermost — team and deal rooms

Mattermost is open-source team chat with channels, direct messages, calls, and screen share. Sales teams use it for per-deal rooms that keep the full thread in one place. Its open-core community edition is licensed under the AGPLv3, and the company ships free self-hosted editions you can run yourself.

Slack Pro lists at 7.25 USD per seat per month on annual billing and Business Plus at 15 USD, and renewals have carried roughly 9 percent yearly increases since the platform was acquired. The usual trigger to move is Slack free tier hiding messages after 90 days.

The honest gap: the free self-hosted editions have user and message caps; the entry tier suits teams under about 50 users. For a small sales team that is comfortable headroom, but a 200-person org would outgrow the free edition.

Metabase — sales dashboards

Metabase is open-source dashboards and business intelligence. Reps and managers build questions without writing SQL, then pin them to shared dashboards for pipeline, win rate, and forecast. The open-source edition is licensed under the AGPLv3 and reads straight from your EspoCRM database or a copy of it.

Per-seat business intelligence charges per head: Power BI Pro is about 14 USD per seat, and Tableau runs 15 USD for a viewer, 42 USD for an explorer, and 75 USD for a builder. Metabase serves the whole team from one hosted instance with no per-viewer fee.

The honest gap: some advanced controls, like fine-grained permissions, sit in Metabase paid Enterprise edition. The open-source edition covers most small-team dashboard and reporting needs without them.

DocuSeal — quotes and signing

DocuSeal is open-source document signing. You build a fillable PDF, send it to one or more signers, and get back a signed PDF with tamper-evident signing metadata you can verify. It produces legally binding e-signatures and is licensed under the AGPLv3. For a sales team it is the close: quotes, order forms, and contracts.

DocuSign Standard lists at 25 USD per seat per month on annual billing, capped at 100 envelopes per user per year, with Business Pro at 40 USD for higher volume. A busy sales team hits that envelope cap fast, which is what pushes the bill up.

The honest gap: DocuSeal web signing is unmetered, but its API, single sign-on, and embedding are paid Pro features, with a small per-document fee on API completions. If you sign through the web app, the open edition is enough; if you trigger signing from your own code, price the Pro add-on.

How they hand off

These five tools form one path through a deal. A lead lands in EspoCRM, gets a sequence from Mautic, moves through a Mattermost deal room, shows up on a Metabase dashboard, and closes with a DocuSeal quote. Each tool owns one job and passes the deal to the next, so the stack feels like a workflow rather than five separate logins.

In practice it runs like this. A new lead enters EspoCRM as a contact and a deal. Mautic picks up that contact and runs the outreach sequence: the intro email, the follow-ups, the nurture if the deal stalls. When a deal gets real, the rep opens a Mattermost channel for it, so the back-and-forth, the internal questions, and the files live in one room instead of scattered inboxes.

Metabase reads the pipeline from EspoCRM and shows the team where deals sit: stage, age, and forecast. When it is time to close, DocuSeal turns the agreed terms into a signable quote or contract, and the signed PDF goes back into the deal record. The handoffs are not magic integrations; they are a CRM that holds the data and four tools that act on it. You wire the connections that matter to you, and we keep all five running.

The math vs per-seat SaaS

Here is the comparison that decides it. A per-seat sales stack costs about 236 USD per rep per month at standard pricing. Five open-source apps, run by us, cost €45 per month, flat, no matter how many reps you have. The gap is not a rounding difference; it is the difference between a bill that scales with headcount and one that does not.

First, the per-seat stack, one seat each across the five jobs:

Sales jobPer-seat SaaS (per month)Open-source tool
CRM and pipeline90 USD (HubSpot Sales Hub Pro; Salesforce Sales Cloud Pro 100 USD)EspoCRM
Sequenced outreach~100 USD (Outreach / Salesloft, sales-quoted)Mautic
Team chat and deal rooms7.25 USD (Slack Pro)Mattermost
Sales dashboards14 USD (Power BI Pro; Tableau 15–75 USD)Metabase
Quotes and e-signing25 USD (DocuSign Standard; Business Pro 40 USD)DocuSeal
Per rep≈ 236 USD / month—
Five apps, hosted by us—€9 each = €45 / month, flat

Now scale it. The SaaS column multiplies by headcount; the DANIAN row does not move:

Team sizePer-seat SaaS stackDANIAN (5 apps, flat)Monthly difference
3 reps~709 USD / month (~8,500 USD / year)€45 / month (about 48 USD)~660 USD
8 reps~1,890 USD / month (~22,700 USD / year)€45 / month (about 48 USD)~1,840 USD

Read those numbers honestly, with five caveats. The SaaS prices are standard list rates, mostly on annual billing, and teams often negotiate them down. Real teams also mix seat tiers, so the 236 USD per rep is a fully loaded ceiling, not every team monthly bill. The open-source side is five focused tools, not one suite, and some SaaS features, a dialer, call analytics, a large marketplace, have no match here. Mautic replaces the email side of a sales-engagement platform, and it needs an email service connected. DocuSeal web signing is unmetered, but its API and embedding are paid. None of those caveats close the gap; they just keep it honest.

How to start

Start with one app, not five. The fastest path to value is to put the job that hurts most onto the open-source tool, run it for two weeks, and judge it on your own deals before adding the next. There is no bundle and no all-or-nothing switch.

A sensible order for most teams: begin with EspoCRM, since the CRM is the system of record everything else reads. Import your contacts and deals from a CSV, clean the fields, and set your pipeline stages. Once the pipeline is solid, add Mautic and connect an email-sending service so sequences can run. Add Metabase to read the pipeline and show win rate and forecast. Bring in Mattermost when the team wants deal rooms, and DocuSeal when you want quotes and contracts signed in the same place. Give each app a 14-day trial on real work, not a demo. We deploy each one and stay on chat while you set it up.

Frequently asked questions

Cost and billing

How much does the five-tool stack cost per month?
Five apps at €9 each is €45 per month, flat. That price does not change when you add reps, because we charge per app, not per seat. A per-seat sales stack runs about 236 USD per rep, so three reps pay near 709 USD a month and eight pay near 1,890 USD.

Does the price go up as I hire more reps?
No. The €9-per-app price is flat per app, so five apps stay €45 per month whether you have 2 reps or 20. Per-seat SaaS does the opposite: every new hire adds another full seat across CRM, outreach, chat, dashboards, and signing, which is where a sales stack quietly becomes a four-figure monthly bill.

Is €45 really cheaper than my current tools?
Almost always, past a couple of reps. At three reps a per-seat stack is roughly 709 USD a month and at eight reps roughly 1,890 USD, against €45 flat here. The exception is a single seller on free tiers, who may pay little today and gains less from the switch.

What does the €9 per app include?
Each €9 app covers the hosting, security patches, daily off-site backups, monitoring, and chat support with a named human. Your operational time is zero hours a month. It does not include the sales work itself: you still write the emails, run the calls, and close the deals. The tool is run for you; the selling is yours.

Are there per-message or per-signature fees?
Not from us. The €9 per app is the whole bill for hosting that app, with no per-seat, per-contact, or per-envelope metering on our side. Two upstream notes: Mautic needs an email-sending service you connect, and DocuSeal web signing is unmetered while its API and embedding are paid features of the project.

Setup and switching

How long does it take to get the stack running?
Most apps activate within minutes to a few hours, depending on your DNS and any custom setup. We deploy and run each one; you sign in and start configuring. A realistic plan is one app at a time over a week or two, starting with the CRM, so each tool is settled before the next.

Can I import my existing CRM and contacts?
Yes. EspoCRM imports contacts, leads, and deals from CSV files, which every major CRM can export. We help with the field mapping on chat. Plan a day to clean fields and check pipeline stages after import, since tidy data in is what makes the dashboards and sequences useful later.

Do I need to be technical to run these?
No command line is needed. You manage each app through its own web interface, the same way you use any SaaS. We handle patching, backups, and the server side. Changes that need a human, like a resource upgrade or a region switch, go through chat, and most day-to-day tasks are a click in the app.

What if I only want one or two of the five?
That is the common path. Each app is a separate €9 line item, so you can start with EspoCRM for the pipeline and add Mautic or DocuSeal later. There is no bundle to buy and nothing forces all five. Pick the one job that hurts most today and deploy that first.

Can I leave and take my data with me?
Yes, on demand. These are standard open-source apps, so your data exports through each app own tools or by download, and the formats are open. We keep daily backups you can request. If you ever move off DANIAN, you take the running app and its data; we just operated it for you.

Data and control

Where is my data hosted?
In the region you choose, across 21 datacenter locations on six continents. You pick the one closest to your reps or your customers when the app is set up. Application data sits in that region. If you need a different location later, we move it, and that change goes through chat rather than a toggle.

Am I sharing a server with strangers?
Each app runs in its own hardened container with its own CPU, memory, and storage allocation and isolated networking. The underlying hardware is multi-tenant, which is how the €9 price works, but the boundaries between containers are real. The operating model around backups, patching, and isolation is the same we would run per machine.

Who can see the documents I send for signing?
Only the people you invite. DocuSeal stores documents on the instance we run for you, not on a shared signing cloud, and produces a signed PDF with tamper-evident signing metadata you can verify. You control retention and access. For most quotes and contracts the file never leaves infrastructure you can point to.

Will you upgrade my resources or charge me without asking?
No. We will not upgrade your resources or charge you without your explicit consent. If a card fails, we wait, and we do not delete your data. Resource changes, plan changes, and region moves are decisions you make, with a human on chat to do the part that needs one.

Fit and limits

Is EspoCRM a real replacement for Salesforce?
For pipeline, contacts, custom fields, and reporting, yes, and at a fraction of the per-seat cost. What it is not: there is no vast add-on marketplace, no built-in dialer, and no conversation intelligence. If your sales motion depends on those, keep a tool for them or stay on the SaaS for that piece.

Does Mautic do everything Outreach or Salesloft does?
No. Mautic handles sequenced email outreach, nurture, and segmentation, which is the email engine of a sales-engagement platform. It does not include a dialer or call analytics, and it needs an email-sending service you connect before sends work. For email-led outreach it is strong; for heavy phone prospecting, pair it with a calling tool.

Is Mattermost big enough for my team?
For a small sales team, comfortably. The free self-hosted edition suits teams up to about 50 users, with channels, direct messages, and deal rooms that keep a message history you control. Slack free tier hides messages after 90 days, and that retention squeeze is the usual reason teams move to self-hosted chat.

Can my whole team see dashboards without paying per seat?
Yes. Metabase runs on the instance we host, so reps and managers open dashboards through one app with no per-viewer fee. Per-seat business intelligence charges for this: a viewer seat runs about 15 USD and a builder seat about 75 USD on Tableau. Metabase removes that per-head meter entirely.

When is this stack the wrong choice?
When your team needs a single suite with a dialer, conversation intelligence, and a large integration marketplace under one login, a per-seat platform fits better. The same is true for teams that want zero setup and will not connect an email service or import a CSV. This is five focused tools, not one box.

What to do this week

Pick the one sales tool whose renewal annoys you most, and price its open-source replacement at €9. If you have three reps, a full per-seat stack is near 709 USD a month; at eight reps it is near 1,890 USD; the five-app open-source version is €45, flat, at either size. The number that matters is the one that stops growing when you hire.

This week, export the contacts from your current CRM and start a trial of EspoCRM. Run it on one live pipeline for two weeks. If it holds, add the next tool. We will not upgrade your resources or charge you without your explicit consent, and if you ever leave, you take the running apps and your data with you.
