ABOUT THE SOFTWARE

What is EspoCRM

EspoCRM is an open-source CRM platform first released in 2014. It covers accounts, contacts, leads, opportunities, calendars, email, and BPM workflows from a single PHP application licensed under AGPLv3.

The project is maintained by the EspoCRM company, founded in 2011 in Ukraine. The latest stable release is 9.3.3, shipped on 10 March 2026. EspoCRM 9.3 (February 2026) added PHP 8.5 support, OpenAPI specification generation, and IMAP folder mapping for personal accounts. Commercial extensions for the platform — Sales Pack v4.0 in February 2026, Stripe Integration in October 2025 — continue to land on a regular release cadence.

The frontend is a single-page-app over a REST API. EspoCRM publishes that the platform is used by more than 50,000 companies. The GitHub repository has roughly 2,800 stars and 800 forks, with active release tagging through 2026.

FEATURES

What EspoCRM does

EspoCRM covers the sales workflow most teams run on Salesforce, HubSpot, or Pipedrive — pipeline, accounts, calendars, email, mass mail, BPM, and reports — with field-level customisation handled in the admin UI rather than in code.

Pipeline and opportunities

Drag-and-drop Kanban board, stage probability and forecasting, products linked to opportunities with price books and quantity discounts.

Leads and web-to-lead

Embeddable web-to-lead forms, auto-assignment by territory or round-robin, formula-script lead scoring on field changes.

Calendars and meetings

Shared team calendar view. Two-way sync with Google Workspace and Microsoft 365 through the integration extensions. Zoom links auto-attached.

Mass email and campaigns

Templated outbound campaigns with bounce handling, opt-out tracking, and unsubscribe links. Mailchimp two-way sync via extension.

Accounts and contacts

Full parent-child account hierarchy, related-record side panels on every entity, custom fields and entities added through Entity Manager.

Email and shared inboxes

IMAP polling for personal and group inboxes, email-to-case routing with auto-assignment, signatures, and group folders.

Workflows and BPM

Workflow rules trigger on field changes and scheduled times. The Advanced Pack adds full BPMN 2.0 flowcharts for multi-step business processes.

Reports and dashboards

List, grid, and saved-search reports. Dashboard widgets per role. The Advanced Pack adds joint reports across linked entities.

WHAT'S ALWAYS INCLUDED

Every app. Fully managed.
Nothing extra to pay for.

Every app you deploy includes the full managed service — security, backups, updates, and support from day one.

Automatic updates and patches

Apps run the latest stable version. Security patches applied silently, with rollback if needed.

Daily off-site backups

Multiple daily backups in redundant off-site locations. One-click restore if anything goes wrong.

24/7 uptime monitoring

Continuous monitoring with instant alerting. We respond before you notice.

SSL, firewall, DDoS protection

Auto-renewing SSL, hardened firewall rules, DDoS mitigation on every deployment.

Performance and scaling

We monitor resource usage continuously. When your app needs more headroom, we flag it and upgrade with your explicit approval.

Dedicated engineering support

Real engineers on chat. DNS, SMTP & migration help. All included in €9.

WHY MANAGED

Why teams pick managed EspoCRM

Sales teams started looking for an alternative in August 2025, when Salesforce raised list prices by six percent and rolled out Agentforce surcharges of $125 to $550 per user per month. Self-hosting EspoCRM is one answer — until production exposes the work no one warned you about. Hense, people pick managed hosting.

These are representative team types we set up most often. Each starts with the same flat €9 plan.

12-PERSON B2B SAAS SALES TEAM

Replacing HubSpot Starter after the seat-migration upcharge

Germany region. Custom Trial entity linked to Opportunities. Web-to-lead form on the marketing site routes inbound by territory. Stripe Integration on for billing handoffs from sales to finance. Activity stream visible on the dashboard for the daily standup.

8-PERSON DISTRIBUTION FIRM

Migrating off Salesforce Sales Cloud after the August 2025 hike

USA region. Sales Pack v4.0 pre-installed — quotes, sales orders, invoices, delivery orders. PDF templates branded to company letterhead. VoIP Integration on for click-to-call from account records. Field-level security on commission columns. Six manufacturer reps as named users with territory-restricted views.

5-PERSON CONSULTING PRACTICE

Trading per-seat CRM bills for a flat managed-hosting fee

Google Workspace Integration on for calendar two-way sync. Meeting Scheduler embedded on the marketing site for prospect bookings.

COMPARISON

Four ways to run EspoCRM

The CRM decision usually comes down to four paths. The math holds at 1, 5, and 10 seats. You pay either a per-seat tax that climbs with headcount, or a managed-hosting fee that does not.

BY INDUSTRY

EspoCRM for specific industries

A CRM that fits a wholesale distributor is not the same one that fits a recruitment desk. EspoCRM's Entity Manager and field-level security make per-industry shaping practical. The five profiles below show how DANIAN tunes the install before you log in.

Manufacturer-rep agreements drive commission tracking and territory exclusivity. ISO 9001 quality-record retention typically runs three to seven years. DANIAN pre-installs Sales Pack v4.0 — quotes, sales orders, invoices, delivery orders, return orders, suppliers, purchase orders, receipt orders, inventory locations — and enables issuance locking so issued sales orders and invoices cannot be edited after the fact.

A typical workflow: Opportunity Won fires a BPM flowchart that auto-creates a Sales Order, generates a branded PDF, triggers a Delivery Order on warehouse confirm, and issues an Invoice with a Stripe payment request. Mid-market catalogs of 5,000 to 50,000 product SKUs run within the standard base instance, with multi-warehouse stock-transfer validation enforced before sale.
Engagement-letter retention windows of six to seven years are standard. Per-client data export on request is normal operating practice. DANIAN publishes the Customer Portal on a subdomain with portal-role permissions so clients see only their own engagement history, documents, and open cases. SMTP DKIM and SPF are set on the managed MX so outbound notifications land in inbox rather than spam.

A typical workflow: an inbound portal case auto-assigns by skill tag; an SLA timer runs via scheduled workflows; an escalation fires to the partner if the breach window approaches. A working firm typically carries 500 to 5,000 active client records with a seven-year archive of engagement history, billable activity, and case files.
Local brokerage-record retention typically runs three to five years. MLS data-handling rules vary by jurisdiction. DANIAN adds custom Property and Listing entities through Entity Manager, installs the Maps Integration extension for address-based geo-search, and wires web-to-lead forms into listing-portal pages.

A typical workflow: a web-form submission creates a Lead tagged with the property of interest, auto-assigns by ZIP territory, sends a Meeting Scheduler link to the prospect, and on Opportunity Won spawns a closing-checklist Project Task list. A working brokerage desk typically carries 10,000 plus Lead records and a three to seven year closed-transaction archive linked to the originating property.
Consent tracking for marketing outreach is normal operating practice. CRM records are reviewed alongside revenue records when the business gets audited. DANIAN exposes the OpenAPI specification added in EspoCRM 9.3 for product-event ingestion, installs the Stripe Integration for billing handoffs, and applies field-level security to ARR and MRR columns so only the finance team can read them.

A typical workflow: a trial-signup webhook creates a Lead with a trial-start timestamp; scheduled workflows check at day 7, 14, and 21; the assigned AE gets pinged if no product activity is recorded. The same install supports up to ten million records with index tuning, which DANIAN runs as part of onboarding so search and filter latency stays under a second.
Per-jurisdiction candidate-data retention varies — typically one to two years on US desks, longer on enterprise-search rosters. Per-candidate erasure on request is normal operating practice. DANIAN builds custom Candidate, Position, and Placement entities via Entity Manager, adds a Documents entity for CV version tracking, and sets Roles plus Teams so each recruiter sees only their own desk.

A typical workflow: a CV upload triggers Candidate creation; a formula script tags skills automatically; the Kanban board moves the record through Sourced, Screened, Submitted, and Placed. On Placement Won, an invoice fires through Sales Pack. A busy recruitment desk typically carries 50,000 to 250,000 candidate records, with document storage scaling alongside intake.

Or, on our randomized free subdomain. Example: 963.apps.danian.cloud
If you wish to use a custom domain/subdomain, select that option when ordering your app (or notify us later). We will send you the required DNS records and if needed, our tech team will modify them for you.
21 datacenter locations across six continents. You choose the region at provisioning. Application data sits in the region you choose; pick whichever is closest to your users or matches your data-residency preference.
Yes. Request a region migration from the dashboard and we run the move in the background. The system emails you when the migration completes; total transfer time depends on data volume but typical instances finish in a few hours. There is no extra charge for a region change.
Yes. Full data export is available at any time, in a portable format you can bring to any infrastructure.
EspoCRM ships a built-in Data Import that handles CSV with field mapping, duplicate detection, and update-or-create logic. Export from Salesforce, HubSpot, or Pipedrive to CSV, map fields against EspoCRM's Account, Contact, Lead, and Opportunity entities, then run the import in dry-run mode first.

03

Billing, support, and platform
