What is Trilium Notes

Trilium is an open-source hierarchical note application — a tree of notes with typed attributes between them, encrypted subtrees, JavaScript scripting, and a sync server that keeps desktop and web in step.

Trilium is released under the AGPL-3.0 license and maintained by the TriliumNext community organization after the original project's lead author stepped back from day-to-day work. One of the the most recent major releases, removed the experimental LLM integration, switched custom widgets to a Preact/JSX scripting model, introduced a Mozilla PDF.js-based PDF renderer, and shipped substantial mobile-web improvements.

Architecturally, Trilium stores everything in a single SQLite database (notes, attributes, attachments, revisions) and serves both a web UI and a sync API. Each note can hold rich text, Markdown, source code, mind maps, canvas, or files. Notes carry labels and relations, so you can model client matters, citations, or kanban boards without leaving the tree. The install footprint is around 150 MB on disk plus your content. Compared to Evernote and Notion, the data is yours, the schema is open, and the lock-in stops at the export button.

WHY MANAGED

Why teams pick managed Trilium Notes

TriliumNext v0.102.0 in March 2026 marked the first major release under the community fork, with a destructive database migration that downgrades cannot reverse. That kind of release is the moment teams stop wanting to babysit their own instance.

Running Trilium yourself is more than docker pull. There is a sync server to keep reachable, TLS to renew per custom domain, an attachment volume that grows quietly, version upgrades with the occasional schema migration, and the slow accumulation of revisions that need a database vacuum every so often. Restoring a backup across versions is the moment most home installs discover what they actually had.

A specific gotcha: TriliumNext's Docker image runs as UID/GID 1000 by default and mounts /home/node/trilium-data inside the container. If the host bind-mount directory is owned by a different UID, the container fails on first start with EACCES: permission denied, mkdir '/home/node/trilium-data/log'. The official docs also warn against the :latest tag because a minor version bump can disrupt active sync setups. Both are normal Docker operations once you have seen them; both are an evening of debugging the first time.

Trilium Notes for specific industries

Some industries put unusual demands on a note app — retention, source protection, jurisdictional locality, defensible record-keeping. The shape of the tree, the encryption model, and where backups land all matter. The fits below reflect the accounts we see most often.

Solo consultants and small advisory shops use Trilium as the canonical record of client work — proposals, meeting notes, deliverables, follow-ups. Professional indemnity insurance commonly requires retrievable working records for six to seven years after engagement close, so the question is not whether the notes exist but whether they can be produced.

We pin a stable TriliumNext release tag rather than :latest, configure nightly off-site backup of the trilium-data folder to a separate region, and pre-mount the attachments volume so a version upgrade does not touch your client files. A typical pattern: /clients/[acme]/[engagement-2025-q3]/ with attribute relations linking proposals to deliverables and meeting notes. A typical solo-consultant instance sits at 4–8 GB after 18 months and crosses 2,000 notes within the first year.
Multi-year research notes carry references, code snippets, draft chapters, and (where applicable) participant data. IRB or ethics-board protocols expect a clear record of source provenance, version history, and access controls on sensitive material — Trilium's revision history plus protected subtrees map directly onto that need.

We attach a dedicated persistent volume for attachments — PDFs of papers, raw data dumps — and route nightly backups to the region of the host institution. The SRA Code of Conduct in England and Wales, and equivalent bar-association rules elsewhere, set defensible retention expectations on working papers — often six years past matter close, longer for trust accounts.

We lock protected-note encryption per matter (a passphrase per client tree), route backups to the region matching the matter's jurisdiction, and pin TriliumNext versions so an automatic upgrade does not interrupt an active filing window. A common layout: /precedents/contract-disputes/[year]/, /matters/[year]/[client]-[shortname], and per-partner /private subtrees behind separate passphrases. A 3-partner firm typically lands at 8–12 GB after 24 months, with several thousand cross-linked precedent notes.
Investigative work asks for source-protection norms, an evidence chain that holds up in editorial review, and a hard wall between published material and live working notes. Reporters' shield laws in several jurisdictions assume the journalist controls — and can defend — the storage layer.

Each story tree typically lives behind its own passphrase that DANIAN cannot recover; backups route to a region you choose; and TriliumNext versions are pinned so a routine upgrade does not disturb an active investigation. Workflow example: /stories/[short-codename]/ with /sources/ as a protected subtree, /timeline/ as a Trilium calendar collection, and attribute relations linking source notes to evidence files. A small newsroom desk typically runs 5–10 GB across 1,500–3,000 notes over a year of active reporting.
Engineering teams keep runbooks, postmortems, architecture decision records, and per-customer technical playbooks. Customer audit clauses and internal engineering quality standards expect a date-stamped record of decisions and incidents — Trilium's revisions, calendar collection, and JavaScript scripting make it a natural fit.

We expose the data directory as a separate persistent volume so attachments and the SQLite database survive version upgrades cleanly, configure custom domains with TLS termination at the proxy, and tune SQLite WAL settings for the larger note counts these teams accumulate. Common layout: /runbooks/[service]/, /postmortems/[year]/, /adrs/ with relation links to the services they affect, and /customers/[name]/ subtrees. Typical instance: 3–6 GB and 1,000–2,500 notes within 12 months.

Technical and configuration

Trilium imports Evernote .enex files directly through the tree context menu — Import → ENEX. Joplin exports as JEX (its native format) or as a Markdown directory tree; both import cleanly. Tags map to labels, notebooks to subtree roots, and timestamps preserve correctly since v0.100.0.
Trilium was originally built by zadam and went quiet in 2024. TriliumNext is the community fork that picked up active maintenance, with v0.102.0 shipping on 1 March 2026 and a hotfix on 8 March. We run TriliumNext exclusively, pinned to specific stable tags rather than the :latest rolling tag.
A Trilium instance is single-user by design. Multi-user is the most-funded community bounty on IssueHunt and has not landed yet. Teams typically share one account across desktop clients, use the Share feature for read-only published subtrees, or run one instance per person with peer sync.
Yes. We support TriliumNext desktop on macOS, Windows, and Linux. The client holds a full local copy of the database, so offline edits are fine. Sync reconciles on next connection. Client and server clocks must stay within five minutes — outside that window the sync handshake fails.
Protected notes are encrypted client-side; the passphrase derives the key. The server, including the operator, only ever sees ciphertext. We cannot recover that passphrase. If it is lost, the protected subtree stays encrypted permanently. Unprotected notes and the rest of the tree remain accessible.
TriliumNext added OpenID Connect authentication that works with Authentik, Keycloak, Authelia, and similar providers. We configure the redirect URIs and environment variables on your behalf. For small teams without an IdP, the default username/password plus TOTP is usually the simpler path.
No native mobile app yet — it is the most-funded community bounty. The mobile web UI received substantial work in v0.102.0: search, recent notes, custom launchbar, attachment uploads, and proper viewport handling on iOS. Most managed customers use the mobile web UI through their custom domain.
