What is Paperless NGX

Paperless-ngx is the community-maintained open-source document management system. It scans, OCRs, indexes, and archives documents as searchable PDF/A files. The project has 40,000+ GitHub stars and is the direct successor to the original Paperless project from 2016.

Paperless-ngx is licensed under GPL-3.0 and maintained by the paperless-ngx organization on GitHub — a community team that took over after Paperless-ng's lead maintainer stepped back in 2021. The stack is Django for the API and admin, Angular for the frontend, PostgreSQL for the database, Redis for the Celery task queue, and Tesseract through OCRmyPDF for optical character recognition.

Typical install footprint is two to four gigabytes of RAM at idle, with OCR spiking one CPU core to 100% during processing. Disk usage runs about five to ten megabytes per document — the original file, the PDF/A archive copy, the thumbnail, and the full-text search index. The output format is PDF/A-2b, designed for long-term archival.

OCR with multi-language Tesseract

WHY MANAGED

Why teams pick managed Paperless NGX

Evernote's 2025 plan overhaul retired the legacy Personal and Professional tiers and replaced them with Starter and Advanced — pushing renewals up 70 to 100 percent for many users. Migrating archives to Paperless-ngx solves the bill. Running it in production is the next problem.

Vanilla Paperless-ngx ships with a default that catches every operator the first time. PAPERLESS_OCR_MODE is set to skip — which means the UI's Redo OCR button is a silent no-op until you stop the container, edit the environment variable, restart, click Redo, then restart again. Issue #3286 and discussion #6291 in the upstream repo document teams hitting this and losing time figuring it out.

That's one default. The full list runs longer. Office documents (.docx, .xlsx, .odt) silently fail to ingest. SQLite is the default backend, which chokes past five thousand documents. The classifier retrains hourly after certain scikit-learn version bumps, pinning a CPU core. PAPERLESS_FILENAME_FORMAT uses a Jinja syntax that changed in 2025; old-style configs warn at startup and may break on storage path templates.

On DANIAN, Paperless-ngx ships with PostgreSQL, OCR_MODE tuned per region, multi-language Tesseract packs ready, share links available, and the consume folder pre-permissioned. PDF/A-2b is the default output format. Backups are daily and off-site, not on the same disk.

German GoBD rules require booking vouchers and tax-relevant invoices to be retained eight years in their original electronic format under §147 AO and §14b UStG, shortened from ten years on 1 January 2025 by the Bürokratieentlastungsgesetz IV. Paperless-ngx preserves originals untouched alongside its PDF/A archive — the exact requirement.

On DANIAN we set the OCR mode to skip so existing text layers in XRechnung and ZUGFeRD electronic invoices are preserved, enable Tika and Gotenberg for XML and Office voucher parsing, and pre-install the German and English Tesseract packs. Storage path template runs by year and document type.

Technical and configuration

By default, no. The PAPERLESS_OCR_MODE setting is set to skip in vanilla installs, which preserves existing text layers and only OCRs image pages. You can change the mode to redo (re-OCR everything) or force (OCR even text-layered pages), but those settings are global, not per-document, and require a container restart to apply.
Vanilla Paperless-ngx ships with PAPERLESS_OCR_MODE set to skip, which makes the UI's Redo OCR button a silent no-op — documented in upstream issue #3286 and discussion #6291. On DANIAN we set the mode to skip by default but expose a one-click switch to redo for the documents you want re-processed, then revert. No container restart on your side, no environment variable editing.
We pre-install Tesseract language packs for German, English, French, Italian, Spanish, Portuguese, Dutch, Polish, and Swedish on every Paperless-ngx instance. PAPERLESS_OCR_LANGUAGE defaults to the language of the region you pick at deployment. Adding more languages takes a chat message; we install the pack and restart the OCR worker on our side.
Yes. Paperless-ngx generates signed, time-limited share links for individual documents. Useful for sending an invoice to an external accountant, sending a contract to a counterparty, or letting a vendor download a purchase order — without provisioning a user account. Share links can be revoked at any time, and the audit log records every access.
PostgreSQL 16, in a dedicated container with daily logical backups separate from the document archive. The vanilla docker-compose can be configured for either SQLite or Postgres — and SQLite is fine until you cross roughly five thousand documents, at which point concurrent OCR workers start contending on locks. We default to Postgres on every instance so the database doesn't become a wall later.

Evernote ENEX exports, Dropbox folder dumps, and SharePoint document libraries can all be bulk-converted to a folder of PDFs and dropped into the consume directory. Existing tags and folder structure can be carried over through the document_importer JSON format. We help with the export and the conversion during onboarding.
Paperless-ngx ships a document_importer command that ingests a JSON manifest plus the document files. The manifest captures correspondents, document types, tags, custom fields, and storage paths. We help build the manifest from your existing system, run the import on your new instance, and confirm document counts match before handing over.
Paperless-ngx connects to any IMAP or POP3 inbox and processes messages according to mail rules you define — folder, sender, subject filters, with actions like delete, mark read, or move after ingestion.
