ABOUT THE SOFTWARE

What is OnlyOffice Enterprise

ONLYOFFICE Docs Enterprise is the commercial build of ONLYOFFICE Docs — an online office suite with editors for text documents, spreadsheets, presentations, fillable forms, and PDFs. The Enterprise licence adds mobile web editors, the Admin Panel, the ability to scale beyond 20 simultaneous connections, and one or three years of professional updates and support.

ONLYOFFICE Docs is developed by Ascensio System SIA and licensed under the GNU Affero General Public License v3 for the Community Edition. The Enterprise Edition ships from the same codebase under a commercial licence that enables the production-grade build. One of the latest releases of 2026 added Dark Document mode for spreadsheets, 25 new presentation themes and 20 new slide transitions, recipient assignment with filling-status tracking in fillable forms, and updated licensing terms for clarity around trademarks and attribution.

Editors render in any modern browser via HTML5 Canvas — no plugins. File compatibility covers DOCX, XLSX, PPTX, ODT, ODS, ODP, PDF, and the older binary Microsoft Office formats. The suite has been adopted by the city of Lyon (France) in 2025, the German state of Schleswig-Holstein, the University of Grenoble Alpes (60,000 students across three merged campuses), the University of Nantes (37,000 students), and around 15 million users worldwide. More than 40 official connectors ship for Nextcloud, ownCloud, Moodle, SharePoint, Pipedrive, Confluence, Odoo, and other platforms via the WOPI protocol.

FEATURES

What OnlyOffice Enterprise does

Eight editor capabilities ship in the Enterprise build, all rendered in the browser via HTML5 Canvas with no plugin or download required. The same editing stack runs on the mobile web and inside 40+ third-party platform connectors.

Document Editor

Text documents with 400+ formatting features, Track Changes, mail merge, table of contents, bookmarks, and document comparison and combining for legal-style workflows.

Presentation Editor

25 design themes and 20 slide transitions in 9.4, with animations, Presenter mode, embedded media, and GIF playback in slideshow mode for product demos and training.

PDF editor

Annotation, drawing markup, page rotation, page add and delete, text editing, and conversion in and out of PDF. Multipage view added in 9.3 for long-document review.

Admin Panel

Web UI for the deployment: connection statistics, security settings, health checks, JWT management, licence activation, WOPI configuration for SharePoint.

Spreadsheet Editor

400+ functions and formulas, named ranges, charts, equations, Sheet Views, Goal Seek and Solver. Macros run a JavaScript engine compatible with most Excel VBA logic.

Fillable PDF forms

Customisable simple and complex fields with recipient roles and per-recipient status tracking. Forms render and fill in any browser; signed forms save back as standard PDFs.

Real-time co-editing

Two modes: Fast (live cursors) and Strict (paragraph-locking for legal review). Includes Track Changes, comments, mentions, audio and video calls, and version history.

AI assistant

Text, image, and code generation, summarisation, keyword analysis, translation, grammar correction via your AI provider of choice — OpenAI, Anthropic, DeepSeek, or Mistral.

WHY MANAGED

Why teams pick managed OnlyOffice Enterprise

From 1 July 2026, Microsoft 365 Business Standard rises from $12.50 to $14 per user per month — a 12% jump that follows a year of public-sector moves away from US-based office suites. A managed self-hosted office suite turns the per-seat tax into a flat hosting line, but only if you have an operator running it.

The work of running ONLYOFFICE Docs Enterprise in production goes beyond installing the Docker image. The document service has to be reachable from your DMS — Nextcloud, ownCloud, Moodle, SharePoint — on a stable URL with valid TLS. The callback flow, where ONLYOFFICE pings your DMS after editing closes, needs network paths that work in both directions. And the JWT secret that signs every token between editor and storage has to be set explicitly; the default-generated key in /etc/onlyoffice/documentserver/local.json gets regenerated on every container restart unless you override it via the JWT_SECRET environment variable.

The most common production failure we see: someone edits local.json to disable JWT "just for testing", restarts the container, and the secret regenerates — but the connector on the DMS still expects the old key. Editing silently breaks for everyone. The fix is to set JWT_SECRET at container start and never edit local.json directly.

USE CASES

Three teams who run OnlyOffice Enterprise on DANIAN

The Enterprise licence is sized by simultaneous connections, not seats — so the path tends to make sense for organisations of 25+ users. Below are three composite team profiles drawn from common buyer patterns we see.

40-PERSON GERMAN LAW FIRM

Moving from Microsoft 365 to a Nextcloud + ONLYOFFICE stack for client confidentiality

Germany region, Nextcloud as the DMS and ONLYOFFICE Docs Enterprise as the editor. 50-connection licence. Track Changes is the primary feature — every contract gets a redline before signature. JWT secret rotated quarterly; SSO via the firm's Microsoft Entra tenant. Average concurrent editors: 8–12 across business hours.

POLISH UNIVERSITY DEPARTMENT

Replacing Microsoft 365 EDU licensing for 200 students and 30 faculty

Poland region, Moodle 4.x as the LMS, ONLYOFFICE Docs Enterprise as the editor. 100-connection licence with education discount from ONLYOFFICE. Students submit assignments as DOCX; faculty mark up via Track Changes. Mobile web access mandatory because students use mixed devices — phones, tablets, lab desktops.

CANADIAN SAAS STARTUP

Document layer inside Pipedrive deals for a 25-person sales team

Canada region, Pipedrive as the CRM, ONLYOFFICE Docs Enterprise via the official Pipedrive connector. 50-connection licence. Proposals, contracts, and onboarding docs live on the deal record and edit in-app. JWT signed handoff between Pipedrive and the document server. Average concurrent editors: 6 during US business hours.

COMPARISON

Four ways to run OnlyOffice Enterprise

The Enterprise build requires a licence from ONLYOFFICE — purchased separately from Ascensio System SIA, starting at $1,500 for 50 simultaneous connections. The four paths below differ in how you handle the infrastructure underneath that licence.

All paths except Microsoft 365 require an ONLYOFFICE Docs Enterprise licence, purchased from ONLYOFFICE at onlyoffice.com/docs-enterprise-prices. The DANIAN €9 covers the hosting and operations; the ONLYOFFICE licence is paid separately to Ascensio System SIA. The Enterprise licence is sized by simultaneous connections (50 minimum), not seats — so the path tends to make structural sense at 25+ users.

BY INDUSTRY

OnlyOffice Enterprise for specific industries

Four sectors converge on the same set of requirements for an office suite: data residency, format compatibility with Microsoft Office, real Track Changes, and an audit trail. These are the industries where the managed self-hosted path tends to clear the decision for ONLYOFFICE specifically.

Regulation. GDPR (EU) and equivalent national data-protection regimes — UK DPA 2018, Switzerland's revDPA, France's CNIL guidance. For US and Canadian public bodies, FOIA-style records-retention obligations apply alongside the data-protection rules.

DANIAN configuration. Region pinned to the customer's jurisdiction (Germany, Finland, Canada, and similar). JWT secret unique per container, never derived from the default. Backup retention extended to 90 days on request to align with public-records minimums.

Workflow. Internal policy documents drafted in Word format, redlined via Track Changes by named reviewers, signed off via fillable PDF forms with per-recipient status tracking.

Real deployment. The city of Lyon migrated its city administration to ONLYOFFICE in 2025. Schleswig-Holstein (Germany) reports 80% of state-government workplaces have moved from Microsoft Office to open-source alternatives. The city of Hopewell, Virginia deployed ONLYOFFICE Enterprise for 500 government employees.

Regulation. GDPR for EU institutions; FERPA for US institutions. Institutional procurement rules increasingly require open-format file storage — Germany's federal digitalisation ministry now mandates open formats for public-sector documents.

DANIAN configuration. 100- or 200-connection ONLYOFFICE licence tier on the Enterprise build. Moodle 4.x connector configured with the institution's SSO (Shibboleth, SAML, or OIDC). Mobile web prioritised because students arrive on whatever device they own.

Workflow. Assignments uploaded as DOCX or PDF; faculty annotate via Track Changes; group work uses the Fast co-editing mode for live cursors; final submissions saved back to Moodle through the connector's callback flow.

Real deployment. The University of Grenoble Alpes (60,000 students across three merged campuses) and the University of Nantes (37,000 students) both run ONLYOFFICE Docs as the primary editor inside the institutional DMS. Münster University runs it inside the sciebo platform.

Regulation. GDPR Article 32 (security of processing) for EU firms. ABA Model Rule 1.6 (confidentiality of client information) for US firms. Many jurisdictions impose document-retention floors of six to ten years on signed instruments.

DANIAN configuration. Strict co-editing mode set as the default at the connector level (paragraph-locking, not real-time cursors) to avoid two-editor races on the same clause. Audit trail enabled for all document access via the Admin Panel. SSO mandatory; no shared accounts.

Workflow. Contract drafted in Word format, sent for client review with Track Changes on, redlines accepted or rejected clause by clause, document compared against the prior version via the Compare Documents tool, signed copy archived to the matter file.

Real deployment. Document comparison and document combining — both Enterprise-build features — are the named-feature reason most legal customers cite for choosing Enterprise over the Community Edition build. NetExplorer's legal-services customers specifically cite Track Changes as the most-used feature.

Regulation. HIPAA (US), GDPR Article 9 (special-category personal data) for EU healthcare providers, regional medical-record retention rules (often 10–25 years), and patient-data residency requirements that vary by country.

DANIAN configuration. Single-tenant container with no shared resources. JWT enforced on every endpoint, with the secret rotated on a 90-day cycle. Region selection limited to jurisdictions matching the customer's regulatory perimeter. Backup encryption keys held by the customer on request.

Workflow. Clinical templates drafted as fillable PDF forms with per-field validation, completed by clinicians at point of care, exported as flat PDFs for the patient record. Internal SOPs maintained in Word format with quarterly review cycles tracked via Track Changes and named reviewers.

Real deployment. NetExplorer's healthcare-focused cloud platform — which integrated ONLYOFFICE Docs to serve French medical institutions — operates under ISO 27001 and provides ONLYOFFICE-based co-editing as the document layer for clinical workflows.

FAQ

Frequently asked questions

Everything teams ask before signing up — answered straight, without sales speak.

Three groups: technical setup, migration, and how DANIAN works as a service.

01

Technical and configuration

You bring your own. ONLYOFFICE Docs Enterprise requires a licence from ONLYOFFICE itself (Ascensio System SIA), starting at $1,500 for a 50-connection one-year licence at onlyoffice.com/docs-enterprise-prices. The DANIAN €9/month covers the hosting and operations layer — we run the infrastructure, you provide the licence file. We mount your license.lic into the container from a persistent volume so re-deployments don't invalidate it.
JWT is enabled by default with a unique random 64-character secret per customer container. We persist the secret as the JWT_SECRET environment variable, not via /etc/onlyoffice/documentserver/local.json. That's the version that gets regenerated on container restart. If you want to set your own secret to match your DMS connector, send it via support and we rotate.
Yes. ONLYOFFICE ships 40+ official connectors and supports the WOPI protocol for platforms that prefer it (notably SharePoint). For each connector you need the document server URL (we provide), the JWT secret (we provide on request), and any platform-specific configuration (we help with). We don't host your DMS — that's a separate decision — but we make sure ONLYOFFICE is reachable from wherever your DMS runs.
Whatever you buy from ONLYOFFICE. The Enterprise licence is sized by simultaneous connections — one document open in one browser tab is one connection; the same document open by two users in two tabs is two connections. The tiers go 50, 100, 200, 500, 1000 and above. We don't impose a connection limit on top of yours.
Strict mode (paragraph-locking) handles five or more editors cleanly. Fast mode (live cursors) is fine up to about eight editors per document before the WebSocket traffic starts to feel sluggish. For board-meeting-style documents with twelve or more editors, we recommend Strict mode at the connector level.

02

Migration and onboarding

We can activate your app on your own custom domain/subdomain. Examples: mydomain.com, anyword.mydomain.com.
Or, on our randomized free subdomain. Example: 963.apps.danian.cloud
If you wish to use a custom domain/subdomain, select that option when ordering your app (or notify us later). We will send you the required DNS records and if needed, our tech team will modify them for you.
21 datacenter locations across six continents. You choose the region at provisioning. Application data sits in the region you choose; pick whichever is closest to your users or matches your data-residency preference.
Yes. Request a region migration from the dashboard and we run the move in the background. The system emails you when the migration completes; total transfer time depends on data volume but typical instances finish in a few hours. There is no extra charge for a region change.
Yes. Full data export is available at any time, in a portable format you can bring to any infrastructure.
Files first — copy your DOCX, XLSX and PPTX from OneDrive or SharePoint into your chosen DMS (Nextcloud, ownCloud, and similar). ONLYOFFICE handles the format natively, so the editor opens them without conversion. For org-level migration, expect one to two weeks for the document copy and connector setup; user training is the longer pole.
Yes. DocSpace has a built-in data migration tool that exports rooms and documents. The Enterprise build doesn't include DocSpace's room concept, so workflows that depend on rooms need to map to your DMS's folder model first.

03

Billing, support, and platform

€9 covers everything we do for that app: hardware in the region you choose, daily off-site backups with one-click restore, automatic security patches and version upgrades, 24/7 monitoring, SSL and firewall, and engineering support on Email/LiveChat. If you decide to continue, we charge €9/app/month from day 8. If you don't, the trial ends and you can export your data. No card is required for the trial, and we never auto-charge you without explicit consent.
No. The €9/month is flat regardless of how many users log into your app. Add 5 users or 50; the price doesn't change.
24/7 Live chat and email support, both staffed by engineers who run the systems. We handle DNS configuration, SMTP setup, app integrations, performance tuning, troubleshooting, and migration help. Response time is typically under an hour. There is no tier system — every customer gets the same support.
Yes. Cancel from the dashboard. We don't charge a cancellation fee, we don't lock data, and we will export your data to you on request before deletion. data to you on request before deletion.
Every customer instance is backed up daily to a separate region from the primary. We test restores. You can request a restore at any backup point within the retention window — usually 7 days for daily backups.
