What is Nextcloud

Nextcloud is an open-source content-collaboration platform — files, calendars, contacts, video calls, document editing, and group chat — running on infrastructure you control.

The project is GPL-licensed and maintained by Nextcloud GmbH out of Germany. Major releases ship roughly every six months, with security backports for older versions. Around 400,000 instances run worldwide as of 2025, including deployments at the European Commission and the German federal government. The codebase is fully self-hostable; the main components are PHP, MySQL or MariaDB or PostgreSQL, and an optional Redis cache.

Nextcloud Hub bundles the core file-sync features with Talk (audio/video calls), Office (real-time document editing via Collabora or OnlyOffice), Mail, Calendar, Contacts, and a 200+ app store covering tasks, deck boards, notes, forms, and more.

WHY MANAGED

Why teams pick managed Nextcloud

Most teams that move to managed Nextcloud arrive after a specific event — a Google Workspace bill that crossed €100/month, a Dropbox storage-tier upgrade, a Microsoft 365 retention change, or an IT review that flagged data residency. Nextcloud is the obvious self-hosted answer. Operating it well is what €9 covers.


The operational work that "just running Nextcloud" doesn't include

The Nextcloud install is the easy part. The work that follows is what most self-hosted deployments underestimate. WebDAV under sustained sync load needs Redis caching configured on a separate volume — not the default file-cache, and not co-located with the database. PHP needs OPcache enabled with a memory limit raised past the default 128 MB. Background jobs (file scans, preview generation, federated-share refresh) need cron running every 5 minutes or systemd timers, not the in-page AJAX trigger that's enabled by default and produces silent failures.

Major-version upgrades are the part that catches teams. Nextcloud's app ecosystem doesn't always update in lockstep with the core; a fresh major release can break the LDAP connector or the External Storage app for the first few weeks. The honest path is to wait one minor version, validate apps in staging, then upgrade production with a rollback snapshot. Few self-hosted teams have the patience for this; most either skip upgrades (and accumulate CVEs) or upgrade and hit broken apps.

Law firms running Nextcloud on DANIAN typically use the Files Retention Policy app to enforce 7-year client-record retention, and the Group Folders app to scope matter-specific document access — one matter equals one group folder, archived to read-only on case close. For firms handling clients across jurisdictions, we configure server-side encryption with custom keys held outside the application server. The most common configuration request from legal customers is raising the upload limit to 5 GB for trial-exhibit PDFs — we ship that as a default for legal-tagged accounts. The Activity and Audit Log apps are enabled by default so client-record access is traceable.

Technical and configuration

We run the latest stable major release on the Nextcloud Hub track, with a one-minor-version lag during the first three weeks after a new major drops. This avoids the bug-tail of fresh major releases while staying within the security-backport window. We pin the version per account, so upgrades happen on a schedule the customer can choose rather than a forced rollout.
Yes. You can install any app from the official Nextcloud App Store through the admin UI. We pre-enable the core set: Files, Talk, Calendar, Contacts, Mail, Deck, Notes, and Tasks. For apps that need server-side configuration — LDAP, SAML, External Storage, encryption modules — open a chat with us and we set them up. There is no extra charge for app installation or configuration.
We run the upgrade against a staging copy of your instance first, validate that all installed apps survive the version jump, then schedule the production upgrade in your timezone with a rollback snapshot taken immediately before. If a third-party app breaks during validation, we either find a compatible version or hold the upgrade until the upstream app catches up. Customer choice on which path to take.
5 GB by default. We raise it on request with no extra cost — common targets are 10 GB for design agencies handling client-deliverable video, and 50 GB for architecture firms handling full BIM model exports. The limit is set at the PHP, nginx, and Nextcloud-config layers; we tune all three together to avoid silent truncation on uploads.
Both. Collabora Online runs as a separate container we provision on request — it's the choice if you want full LibreOffice-compatible editing in the browser. OnlyOffice Document Server is the alternative if you prefer the Microsoft-Office-compatible UX and ribbon interface. Either integration includes real-time co-authoring, comments, and track-changes. Pick at signup or switch later.
Yes. The External Storage app supports S3-compatible object storage (AWS, Wasabi, Backblaze B2, MinIO), SMB and CIFS shares, FTP, WebDAV, and SFTP. We configure the credentials and mount points; the storage appears as a regular folder inside Nextcloud with full sharing, permissions, and versioning support. This is the typical path for archive storage that doesn't fit primary-tier pricing.
