ABOUT THE SOFTWARE

What is Excalidraw

Excalidraw is an open-source whiteboard for sketching diagrams that look hand-drawn. Teams use it for system design, wireframes, flowcharts, and live brainstorming. It runs in the browser, exports to PNG, SVG, and its own .excalidraw format, and supports real-time collaboration.

Excalidraw is released under the MIT license and was started in 2020 by Christopher Chedeau, an engineer known for his work on React Native and Prettier. It is maintained by Excalidraw s.r.o., the company behind the hosted Excalidraw+ product, and funded through subscriptions and open-source sponsorship rather than venture rounds.

The project has more than 130,000 GitHub stars and ships a steady release cadence; the 0.18 line added a command palette, multiplayer undo and redo, element linking, scene search, and image cropping.

The editor is embedded inside other products and tooling: the project lists Google Cloud, Meta, CodeSandbox, Replit, Notion, and the Obsidian Excalidraw plugin among its integrators. Engineers reach for it because it converts Mermaid syntax into editable diagrams and keeps drawings as portable JSON.

Live collaboration sessions are end-to-end encrypted: the relay server only ever sees ciphertext. That security model is part of why teams want their own instance rather than a shared public one.

FEATURES

What Excalidraw does

Excalidraw is built for fast, low-fidelity drawing: diagrams that look sketched, shapes that snap into flows, and a canvas a whole team can edit at once. These are capabilities of the software itself, the same on your instance as on the public editor.

Hand-drawn-style shapes

Rectangles, arrows, text, and freedraw render in a sketchy style that keeps diagrams feeling like a working draft rather than a finished spec.

Real-time collaboration

Multiple people edit one board live, with cursors and presence, in an end-to-end-encrypted session served by the collaboration server.

Mermaid-to-diagram import

Paste Mermaid syntax and it converts into native, editable Excalidraw elements locally in the browser, with no external service call.

Reusable shape libraries

Build and import libraries of components: personas, frames, sticky clusters, so teams reuse a consistent visual vocabulary.

Frames and flowcharts

Group elements into frames, draw flowcharts with elbow arrows, and link elements so a diagram can navigate like a small map.

Image and asset embedding

Drop images straight onto the canvas; on a managed instance we offload large assets to object storage to keep boards quick.

Export to PNG, SVG, and .excalidraw

Export raster or vector images, or the portable .excalidraw JSON that round-trips losslessly between instances.

End-to-end-encrypted sessions

Collaboration traffic is encrypted in the browser; the relay only sees ciphertext, so board content never reaches the server in the clear.

WHY MANAGED

Why teams pick managed Excalidraw

In March 2025, Figma's first price rise in nearly seven years pushed Figma Design to $16 per editor and folded FigJam into the full seat. Teams that only wanted a whiteboard started looking harder at the open-source one, and at what running it themselves actually takes.

Running Excalidraw yourself is more than serving a web page. The official Docker image is the editor only.

By default, drawings live only in the browser's local storage. Clear a cache and the board is gone; nothing syncs between devices unless someone exports the JSON by hand. Shareable links depend on a storage backend the public image doesn't include.

USE CASES

Three teams who run Excalidraw on DANIAN

Excalidraw fits anywhere people think by drawing. These are three of the team shapes that move to a managed instance, and what each one cares about when they do.

12-PERSON PLATFORM TEAM

Architecture diagrams that don't vanish when an author leaves

They keep C4 diagrams and incident timelines linked from internal docs, so a board can't disappear with one person's browser cache. They import Mermaid sequence diagrams, run live design reviews, and pick a region close to their contractors for low-latency editing.

6-PERSON PRODUCT TEAM

Replacing FigJam after the seat math stopped adding up

They run retros, journey maps, and lo-fi wireframes on a shared library of UI frames, embed live boards into their docs, and pay €9 flat instead of a per-editor seat for every PM and designer who joins a session.

UNIVERSITY CS COURSE

Live whiteboarding for 60 students without third-party accounts

An instructor teaches data structures on a shared canvas, students collaborate in class without signing up for an outside service, and a stable subdomain keeps the lecture archive and starter libraries in place from one semester to the next.

COMPARISON

Four ways to run Excalidraw

There are four realistic ways to put Excalidraw in front of a team: pay per seat for a proprietary whiteboard, self-host on a VPS, run it on a home server, or have us manage it. Here is what each costs and what you actually control.

Path1 user5 users10 usersYour monthly ops timeWhere boards live
Miro (proprietary)Starter, per member, billed yearly$8/mo$40/mo$80/moNoneMiro's cloud; free tier caps you at 3 active boards
Self-host on a VPS$24/mo production-class VPS~$44/mo~$44/mo~$44/mo1–2 hrs + setup; you wire the collab server, storage, and the compiled-URL patch yourselfYour VPS; you patch and secure it
Home servere.g. Synology DS923+≈ €650 hardware once, then €210–667/mo effective (power, business internet, off-site backup, your time)2–4 hrsYour hardware, on your premises
DANIAN managed Excalidraw€9/mo€9/mo€9/moNoneYour subdomain, in the region you choose; we run it

A single seat is the one place the proprietary tools win on headline price: Excalidraw+ starts at $6 per user, FigJam's Collab seat at $5 per month, and Miro's Starter at $8. The flat €9 pulls ahead the moment a second person joins, and it is the only path here that puts a persistent, collaborative Excalidraw on your own subdomain with backups and updates handled. The VPS and home-server paths cost less in licence fees but more in hours, and on Excalidraw specifically, those hours include standing up the collaboration server and replacing the compiled-in public URL before live editing works at all.

BY INDUSTRY

Excalidraw for specific industries

A whiteboard puts different demands on different teams: engineers need their diagrams to persist and link, schools need student data to stay put, and agencies need one client's boards walled off from the next. Here is how a managed instance is set up for four of them.

Engineering teams document systems against conventions like the C4 model and the arc42 template, where the diagram is part of the source of truth rather than a throwaway sketch. That only works if boards persist and stay linkable from the docs that reference them.

We pin the collaboration server and storage backend to the region you choose and keep shareable links on your own subdomain, so an architecture review never routes through the public collaboration host. Day to day, that means C4 context and container diagrams, incident-review timelines, and Mermaid sequence diagrams imported straight from runtime traces. A typical team of 8 to 20 engineers keeps 30 to 80 persistent diagrams per service domain and treats a sub-100ms collaboration round-trip as the bar for a review to feel live.
Schools and training providers work under institutional data-handling policies that often rule out sending student work to a third-party service that requires each student to create an account. A whiteboard students can use in class, without signing up anywhere, is much easier to authorise.

We can connect single sign-on from the school's own identity provider and seed instructor-managed shape libraries, so a class starts from consistent building blocks. The work itself is live whiteboarding during synchronous sessions, algorithm visualisations such as tree traversals, and homework handed in as .excalidraw files. One instance commonly carries 20 to 200 concurrent users during a class and archives 200 to 500 lecture boards over a semester, on a subdomain that stays put from one term to the next.
Product and design teams sketch the thing before they build it, and whatever ships from those sketches still has to meet WCAG 2.2 for accessibility. The whiteboard is where journey maps, lo-fi wireframes, affinity-mapping retros, and sprint boards take shape.

We seed a shared library of UI primitives: mobile frames, browser chrome, sticky-note clusters, when the instance is provisioned, and keep storage versioned so an earlier wireframe iteration can be recovered rather than lost. A design team of 3 to 10 usually keeps 5 to 15 active boards per sprint and wants cursor presence under 150ms, so two people moving stickies at once feels like one shared surface rather than two laggy ones.
Consultancies and studios work across many clients at once, under client-confidentiality agreements that increasingly call for one client's material to be isolated from another's. A shared public whiteboard makes that separation hard to demonstrate.

We can give each client its own subdomain or tenant, private libraries, and scheduled board-export backups so an engagement can be handed over cleanly when it ends. The work is discovery workshops, business-process mapping, and wireframes passed to the client's own engineers. A firm running 10 to 30 active engagements at a time might keep 50 to 150 boards per client over the life of the relationship, and export the entire set as .excalidraw files at handover so the client keeps everything.

FAQ

Frequently asked questions

Three groups of questions: the technical detail of running Excalidraw, what a move to a managed instance involves, and how billing, support, and the platform work.

01

Technical and configuration

In the browser only, through localStorage and IndexedDB. Clearing browser data deletes the board, and nothing syncs across devices. We add a persistent storage backend so boards survive cache clears, follow you between devices, and get backed up off-site every day.
The Libraries panel loads from libraries.excalidraw.com, so your instance needs outbound access to that host, and there is no built-in team-shared library in the open-source editor.
No. The open-source editor has no login; accounts, folders, and access management are Excalidraw+ features. Where you need authentication, we put single sign-on in front of your instance.
Excalidraw uses the mermaid-to-excalidraw library. You paste Mermaid syntax, it renders locally in the browser, and flowcharts convert into native editable elements. It runs client-side with no external service call, so your diagram content stays on your instance.
Yes. The collaboration protocol is end-to-end encrypted and the room server only relays ciphertext. Encryption depends on the browser crypto API, which only works over HTTPS. We terminate TLS on both the editor and the collaboration host, so sessions are encrypted from the first connection.
By default, images are embedded as base64 inside the scene file, which bloats local storage on image-heavy boards. We offload large assets to storage volume on your instance, so boards stay responsive and the scene file stays small.

02

Migration and onboarding

21 datacenter locations across six continents. You choose the region at provisioning. Application data sits in the region you choose; pick whichever is closest to your users or matches your data-residency preference.
Yes. Request a region migration from the dashboard and we run the move in the background. The system emails you when the migration completes; total transfer time depends on data volume but typical instances finish in a few hours. There is no extra charge for a region change.
Yes. Full data export is available at any time, in a portable format you can bring to any infrastructure.
There is no one-click import from Miro or FigJam, because the formats differ. Most teams export reference images from the old tool and rebuild the active boards in Excalidraw, which is quick for the lo-fi diagrams it's built for.
Yes. The .excalidraw format is plain JSON and imports losslessly from the File menu. Boards you already have from excalidraw.com or another instance open directly, with every element editable.
Yes. You can run Excalidraw on your own subdomain, such as draw.yourcompany.com. We issue and renew the certificate, and we help with the DNS records if you want a hand.

03

Billing, support, and platform

€9 covers everything we do for that app: hardware in the region you choose, daily off-site backups with one-click restore, automatic security patches and version upgrades, 24/7 monitoring, SSL and firewall, and engineering support on email and the ticket section in the client portal. There are no setup fees or hidden line items. For more info see our Pricing page.
If you decide to continue, we charge €9/app/month from day 8. If you don't, the trial ends and you can export your data. No card is required for the trial, and we never auto-charge you without explicit consent.
No. The €9/month is flat regardless of how many users log into your app. Add 5 users or 50; the price doesn't change.
24/7 email and ticket support, both staffed by engineers who run the systems. We handle DNS configuration, SMTP setup, app integrations, performance tuning, troubleshooting, and migration help. Response time is typically under an hour. There is no tier system — every customer gets the same support.
Yes. Cancel from the dashboard. We don't charge a cancellation fee, we don't lock data, and we will export your data to you on request before deletion. data to you on request before deletion.
Every customer instance is backed up daily to a separate region from the primary. We test restores. You can request a restore at any backup point within the retention window — usually 7 days for daily backups.
