ABOUT THE SOFTWARE

What is Dolibarr

Dolibarr is an open-source ERP and CRM platform that consolidates sales, invoicing, stock, accounting, projects, HR, and member management into one install. It was created in 2003 by Rodolphe Quiédeville, has been led by Laurent Destailleur since 2008, and is maintained by the not-for-profit Dolibarr Association.

The codebase is released under GPL-3, written in PHP, and runs on PHP with MariaDB, MySQL, or PostgreSQL. The standard install footprint is under 200 MB before customer data; the database itself stays under a megabyte per hundred customers, suppliers, and invoices combined. That keeps even ten-thousand-invoice years well under a gigabyte of relational data — the rest is generated PDFs and uploaded supplier documents.

Dolibarr ships two major versions per year on a roughly February and June cadence, with the prior major still under active maintenance. The upgrade path supports moving from any version after 2.8 without a breaking migration — unusual at this catalog size. Hundreds of paid and free add-ons are available on the official DoliStore marketplace.

FEATURES

What Dolibarr does

Dolibarr replaces the spreadsheet, the standalone invoicing tool, the lightweight CRM, the project tracker, the simple inventory app, and the accountancy export with one PHP application. Eight features earn most of their keep before you finish onboarding.

Third Parties (customers, suppliers, prospects)

One company list shared across sales, purchases, invoicing, and accounting. Tagged, segmented, and supporting hard-delete on request. SIRET and VAT-number fields validated at entry so Factur-X submissions don't bounce.

Invoicing with Factur-X

Native Factur-X PDF/A-3 generation since version 17, with Minimum, Basic, and EN 16931 profiles. Add the DoliStore connector for Peppol BIS 3.0 and XRechnung. EPC QR-codes for SEPA payment.

Inventory, batches, and warehouses

Multi-warehouse stock with batch and serial-number tracking, reorder thresholds, low-stock alerts. Supplier orders flow into receptions; customer orders flow into shipments. Lot data carries onto delivery notes.

Projects with billable tasks

Time entries roll into draft invoices on month-end. The billable-task flag added in version 21 means hours marked non-billable stop accidentally invoicing the customer.

Sales pipeline and proposals

Commercial proposals, customer orders, and the opportunity-cards Kanban view added in version 23. Convert a signed proposal to an invoice in two clicks without re-typing the lines.

Recurring invoices and reminders

Subscriptions, retainers, recurring agenda events, and configurable late-payment reminder cascades. All driven by Dolibarr's scheduled-jobs framework, fired by the OS-level cron we pre-wire.

Double-entry accounting

Chart-of-accounts binding, journal exports including French FEC (Fichier des Écritures Comptables), VAT returns, year-end closing. Read-only ledger access for your accountant without giving them Dolibarr admin.

Public WebPortal

A customer-facing portal where clients see their invoices, place orders, or members renew. Promoted to stable in Dolibarr 22 after several releases under the experimental label.

WHAT'S ALWAYS INCLUDED

WHY MANAGED

Why teams pick managed Dolibarr

France's mandatory B2B e-invoicing reception deadline lands on September 1, 2026, with PME and TPE issuance following on September 1, 2027. Belgium's Peppol BIS 3.0 mandate has been live since January 1, 2026, with penalties from April. The compliance clock is the trigger; managed hosting is the fix.

Self-hosting Dolibarr starts off looking easy. PHP and MariaDB on a VPS, an unzip, a five-minute web installer — and an instance that looks complete in the browser. The work that follows is what "just running Dolibarr" doesn't include: configuring the OS-level cron under the right user so scheduled jobs actually fire, sizing PHP's memory_limit and max_execution_time for TCPDF and ODT PDF generation, wiring SMTP with SPF and DKIM and DMARC so invoices don't land in spam, validating that the SIRET field and ISO 6523 schemeID are populated correctly so the September 2026 Plateforme Agréée gateways accept the Factur-X output, planning the major-version upgrade path so paid DoliStore modules don't break, and verifying backups by actually restoring them.

The single most-skipped step is the cron. Dolibarr's "Run now" button works fine in interactive mode, which is the trap — operators click it, watch the job execute, and assume the schedule is wired. Months later, a customer asks why their recurring invoice never arrived. Forum threads on this failure mode go back years (GitHub issue #12395 on the Dolibarr repository is one of the gnarlier variants: ODT-template PDFs generated by the cron come out with blank addressee data while manual generation works fine). The cron isn't hard once you've debugged it. It is hard to discover quietly going wrong.

DANIAN ships the cron pre-installed and pinned. The cron_run_jobs.php endpoint is hit every five minutes with the MAIN_CRON_KEY already injected, running under the same UID that owns the documents directory. The last-run timestamp surfaces on your DANIAN dashboard, so a silent cron failure becomes visible within a single billing cycle rather than a quarter. PHP is pinned to a current stable with memory_limit at 512M and max_execution_time at 300 seconds, OPcache is on, and the ODT/PDF pipeline has been load-tested against multi-page progress-billing invoices. The defaults below describe the platform; the next section is what Dolibarr itself does once the platform stops being your problem.

USE CASES

Three teams who run Dolibarr on DANIAN

These are representative team types we set up most often. Each starts with the same flat €9 plan.

12-PERSON IT CONSULTANCY - LYON, FRANCE

Replacing FreshBooks and HubSpot before the September 2026 Factur-X deadline

Their accountant flagged that paper and PDF invoices stop being legal documents for French B2B clients after September 1, 2026. The combined FreshBooks plus HubSpot bill crossed €380 per month. They chose DANIAN's France region for data-residency comfort and PA-exchange latency. Active modules: Third Parties, Proposals, Customer Orders, Invoices with native Factur-X, Recurring Invoices for monthly retainers, Projects with billable tasks, double-entry Accounting. Stripe for retainer collection. PA connector targeting Esalink via the community PDP Libre module.

5-PERSON MANUFACTURING DISTRIBUTOR - BERGAMO, ITALY

Consolidating stock, supplier orders, and the SDI flow into one ERP

Imports specialty fasteners from Asia and resells to Italian and German workshops. Their first German XRechnung arrived in early 2025 and got forwarded to the accountant by email; that ad-hoc workflow ended at the first quarter close. DANIAN region: Italy, for low latency to the Sistema di Interscambio gateway and the Peppol BIS access points German receivers use. Active modules: Multi-warehouse Stock with batch tracking, Purchase and Customer Orders, MRP/BOM from a DoliStore module, multi-currency invoicing. SDI and Peppol connectors from DoliStore.

SOLO ACCOUNTANT - BRUSSELS - 28 CLIENT BOOKS

Multi-company Dolibarr for a Peppol-mandated client portfolio

Belgium's mandatory B2B e-invoicing went live January 1, 2026; the three-month enforcement tolerance ended April 1. She refused to run 28 separate Dolibarr installations on a desktop tower. DANIAN region: Netherlands, for low latency to Belgian Peppol Access Points. One install runs 28 entities with the Multi-company module; per-entity backup retention and FEC-equivalent journal exports surface on the dashboard. Stripe and Mollie for client collections. Read-only LDAP-mapped logins so each client sees their own books.

COMPARISON

Four ways to run Dolibarr

Dolibarr's licensing is free; the question is what running it costs. The four honest paths are a proprietary SaaS in the same category, a VPS with Dolibarr installed yourself, a home or office server, or DANIAN. The math below is at one user, five users, and ten users.

At one seat the proprietary SaaS column already costs nearly three times DANIAN's monthly fee. At ten seats it costs roughly thirty times. The VPS column reads cheaper than it is — the €60–240 monthly operational time is what disappears when an upgrade goes sideways the night before a quarter close. The home-server column underestimates business-grade internet with a static IP, which residential broadband does not deliver reliably. DANIAN's column stays flat because the support model and the underlying capacity are sized once, not metered per user.

BY INDUSTRY

Dolibarr for specific industries

Four industries put Dolibarr's strengths under specific load: their regulations name particular invoice formats, their workflows demand precise tracking, and their retention periods make backup discipline non-negotiable. Below, the regulation, the DANIAN configuration choice, the workflow Dolibarr automates, and the quantifiable detail that grounds the page in reality.

The regulation framing this segment in 2026 is France's mandatory B2B e-invoicing — the September 1, 2026 reception obligation for every VAT-registered French firm, with PME and TPE issuance following September 1, 2027. Invoices must be Factur-X, UBL, or CII conformant with EN 16931, routed via a certified Plateforme Agréée. DANIAN preselects the native Factur-X profile in Dolibarr's invoice module and validates SIRET plus ISO 6523 schemeID at the company-info wizard so the first invoice doesn't bounce. The workflow Dolibarr automates: project opens with billable tasks, time entries roll into a draft invoice on month-end via the recurring-invoice cron, Factur-X PDF/A-3 generates with embedded XML, the PA connector hands it off, and the late-payment reminder cron fires at thirty days. French invoice retention is legally six years; Belgian counterparts run seven.
The 2026 regulation reshaping this segment is CBAM, the Carbon Border Adjustment Mechanism, whose definitive period started January 1, 2026 — importers of iron, steel, aluminium, cement, fertilizers, electricity, and hydrogen must track embedded emissions at lot or shipment level. National lot-traceability rules for food, cosmetics, and pharmaceuticals layer on top. DANIAN activates batch and serial-number tracking by default and lifts the documents directory quota to ten gigabytes baseline so PDF supplier invoices, certificates of origin, and CBAM declarations don't bump against the default limit. The workflow Dolibarr automates: supplier proposal to purchase order to reception with batch number, stock transfer, customer order, shipment with batch propagated to the delivery note, invoice generated in the relevant national e-invoice format, cost rolled through the accountancy journal. Dolibarr's database itself stays under one megabyte per hundred invoices.
BTP-specific French VAT rules govern this segment: autoliquidation (reverse charge) for subcontracting under Article 283-2 nonies CGI, reduced VAT of 10 or 5.5 percent for energy-renovation works under conditions, and the retenue de garantie capped at five percent of contract value and released after a one-year parfait achèvement warranty. September 2026 e-invoicing applies to deposit and progress-billing invoices with valid Factur-X line typing. DANIAN pre-installs Dolibarr's native Invoice Situation module — the canonical mechanism for progress billing — sets the default invoice template to the BTP variant including the autoliquidation mention block, and raises max_execution_time to 600 seconds because a 25-line progress-billing PDF with cumulative situation lines and ODT substitution variables routinely exceeds the default TCPDF budget. Quote, signature, 30 percent deposit, monthly progress bills crediting the deposit, final invoice releasing the retention.
The regulation anchor for this segment is France's FEC — Fichier des Écritures Comptables — mandatory under Livre des procédures fiscales L.47 A-I; any accounting software must produce a conformant audit-trail export on tax-inspection request. Article 153 of the 2020 Finance Law layers the per-entity e-invoicing flow on top. DANIAN ships Dolibarr's Multi-company module activated in the accounting-bureau profile, surfaces per-entity backup retention and per-entity FEC export shortcuts on the dashboard, and issues read-only REST API tokens per entity so each client can plug in a BI tool or bank-reconciliation gateway without touching the others. The workflow Dolibarr handles: bureau accountant logs in once, switches entity to Client #14, pulls the month's bank journal, runs the accountancy binding wizard, exports FEC, switches to Client #15 without re-authenticating. French FEC retention is six years; the délai de reprise audit lookback is three.

FAQ

Frequently asked questions

Everything teams ask before signing up — answered straight, without sales speak.

Three groups: technical setup, migration, and how DANIAN works as a service.

01

Technical and configuration

Most DoliStore modules support the current major plus the prior major.
Native — since Dolibarr 17. The invoice PDF generator emits Factur-X PDF/A-3 with embedded XML in the Minimum, Basic, and EN 16931 profiles. Peppol BIS 3.0 and German XRechnung require a separate DoliStore connector.
Yes. The Multi-company add-on lets one instance host multiple legal entities with separate accounting, third parties, and document chains. The blast-radius caveat is real: 28 client books in one install means one cron, one backup chain, and one upgrade window — which is the point, but worth naming.
This is GitHub issue #12395 on the Dolibarr repository, against ODT templates with the "save as Draft" option enabled. Third-party data fails to populate on cron-generated PDFs while interactive generation runs without issue. We default to PDF templates rather than ODT for recurring invoices, and we monitor PDF outputs from cron jobs for empty addressee fields, flagging anomalies before they reach customers.
Yes. Custom invoice templates live in your custom directory, which is preserved across upgrades and included in the daily backup. We pin EPC QR-code generation on by default for SEPA payment, the BTP autoliquidation mention block is available as a one-click preset for French construction customers, and changes you make through the PDF customization interface persist through every version bump.
The REST API is enabled by default with token-scoped authentication. Stripe and Mollie modules are stable and widely deployed. For the September 2026 French Plateforme Agréée flow, the community PDP Libre module routes through certified PAs including Esalink.
Dolibarr's default PHP profile assumes a small instance. TCPDF and ODT pipelines on multi-page invoices, year-end reports, and progress-billing situations exceed PHP's default memory_limit of 128M and max_execution_time of 30 seconds. We pin memory_limit to 512M, max_execution_time to 300 seconds (600 for the BTP profile), OPcache on, and post_max_size to 100M. Long PDFs render.
